Procedure if
you have a GRIEVANCE or COMPLAINT.

The Club sets out to treat all
its members equally, to offer similar opportunities to its members at their
appropriate standard, and to try its best to be fair.

What we do is prescribed by the
Laws of England, the ASA’s Code of Conduct, ASA, ASA NE Region, and YSA County
Rules, and our own Club rules. All of these Rules are available upon the
appropriate web sites.

However, should you have a
complaint about something that the Club or one of its Members has done, or not
done, then please follow the following steps:-

If your complaint refers to any
aspect of the provision of Coaching or Swimming Tuition then the matter must
be raised with the Head Coach, Bill Evans or escalated to Jeanette Packwood at
Harrogate Borough Council, Springfield House. The reason for this is
that Coaches are employed by the Council, NOT by the swimming club.

If you formally complain to a
member of the Committee about Coaching, we will automatically pass your
complaint to the above.

if your complaint relates to
Child Welfare then please contact Sara Atkins, (welfare@swimharrogate.org
) who is the Child Welfare Officer of the Council AND of the Swimming Club.
Alternatively call Swimline on 0808-100-4001, or in emergency Childline on
0808-800-5000..

For any other complaint, then
the following procedure applies.
(a)
Raise the issue with the HDSC personnel concerned.
(b)
If that does not resolve the matter, write to the Honorary Secretary
of HDSC, address as shown in your current membership card, stating the
grounds for your dissatisfaction. If you wish to email, use the
secretary@swimharrogate.org address. We will not deal formally with an
oral or anonymous complaint.
(c)
The Hon Secretary will review your complaint and:
i.
Will acknowledge receipt of the complaint
ii.
may attempt (either personally or through another committee
member) an informal resolution; if that does not succeed or if the
matter is more serious then the Secretary:-
iii.
Will follow ASA Rule 180 et seq (See 2006 Handbook or ASA Web
site) and call for an Independent Panel to adjudicate upon your
Complaint. The Club will be guided by the outcome of that adjudication.

If you or the Club remain
dissatisfied with the adjudication of the Independent Panel, then either party
has the option to make a formal Complaint to the Judicial Commissioner of the
ASA. This procedure is also in the ASA Handbook and on the ASA web site. Both
you and the Club will be bound by the outcome of ASA Judicial Proceedings.
