GALA ENTRY PROCEDURE 2009/10 The Gala Calendar will provide information on the galas we will attend in the next season. It is here and it is on the Hydro notice board. This gives an idea of who can attend each gala. The calendar will have links to the host websites so that you can check all the information you need about the gala. You may not be offered the chance to compete in every swim being offered at a gala – it is at the discretion of your coach. CLOSING DATES About 2 weeks before OUR CLOSING DATE, we will provide the coaching staff with a slip confirming the times our records show you have in order to compete. This slip will give basic information about who is hosting the gala, where it is held and the cost for each swim. The two week period is what we aim for but sometimes when we have a lot to process we can’t give this much time. Our Closing Date is earlier than the host club's as we need time to process the entries. WHAT CAN I SWIM Your coach will confirm what you should compete in. Every swimmer is different and what the coach suggests for one swimmer may not always be what is right for another. You may be directed to compete in specific events. Some of these are Target Galas, i.e. the training you undertake over a period of weeks is preparing for you to swim specific events in a specific gala. You will be told on the slip if it is a target gala. They are mainly aimed at A Grade swimmers who train in National & District squads and the coach will need to sign each swim you should compete in at these galas. Even when the gala is not targeted your coach may still direct what they want you to compete in. Please respect these decisions and only enter what you have been asked to enter. We do not need your coach’s signature for these galas. At other times you may be able to choose what you would like to swim from the times you have achieved in the past. ENTRY TIMES For the vast majority of galas that we attend, we will endeavour to always use your Best Time to enter you. For a short course gala this could be a long course (50m pool) time which has been converted for you using ASA approved tables, and vice versa for a long course gala it may be a short course (25m) time which has been converted for you. Some galas though have specific rules that long course times must only be used. For most galas that we process we need to use licensed times. These are times achieved at a gala where a license has been granted and where the times go onto the British Swimming national ranking database. The times we use to enter you should have been achieved at a gala in the year before the host club closing date, excepting District and National level galas when it is the previous 1st October. For B Grades galas we can still use time trial times if we need to. HOW DO I ENTER To enter the gala, you need to visit our website and download and complete a Gala Entry Form; there will also be a supply of blank entry forms on the noticeboard, but we would prefer that you downloaded the form if you can. You should copy over the times from your slip onto the entry form for the swims you would like to compete in. Remember you may not be competing in every event you have a time for. If you need to alter the times or are competing in a gala after the slip has been produced you can update the times shown. Please always state which gala the time was achieved at. We will convert the time for you if this is needed.
Take care to complete your Name, Date of Birth and the Name of the Gala on the form and return it to the box with a cheque made payable to HDSC.
If it is A TARGET GALA we also need to see the slip signed by your coach. We will give you this back once entries are processed.
You can e-mail the entries on the official form, but please also complete the electronic entry slip and post with your cheque in the box so that we know which gala the cheque is for.
IF YOU HAVEN'T ACHIEVED A TIME YET If you want to compete in events where you have no time - this mainly applies to B Grade swimmers, you should refer to your coach, who will confirm a time for you. We cannot determine whether you are ready to compete in this event so it’s always better to discuss this with your coach first.
ACCEPTANCE/REJECTION OF SWIMS
If you enter a gala and pay the fees the host club will not refund the entry fees if you cannot swim even if you are ill on the day. They will only refund in the event that they reject the swim because they are oversubscribed. To avoid multiple small transactions we will give you a credit slip which you can use to offset the cost of entries to future galas. Please keep checking the host club's website shortly after their closing date. Most clubs usually have a draft programme or a list of swims accepted/rejected. Host Clubs will invariably charge spectator fees and charge for a programme.
ATTENDING THE GALA
If you need to withdraw swims after you have entered then tell your coach before the gala or in any case before the warm up on the day of the gala. You should aim to arrive at the gala at least 10 minutes before the warm up time of the session you are to compete in. If you arrive late and do not inform the coach you may be withdrawn from the competition and not be able to swim - with no refunds given.
When your parent or guardian takes you to a gala there should always be an adult present who will take responsibility in the event that you become ill or injured. There should also be someone to look after you at lunch. If it is not your parent the coach needs to know who this is so you must tell them when you arrive on poolside.
During the time you are competing you are under the direction of the coach or team manager and should only take instructions from them at this time. It is very important that you do not leave poolside without first asking the coach’s permission as you may miss a swim or more importantly there may be an emergency where you need to be evacuated from the building and they need to know exactly where you are.
However, when the swimming club take you to a gala on a bus, train or plane, the coaching staff and team managers take full responsibility from the point you are dropped off until the time you return when your parent must sign a form to release you from their care.
